Other users only see your username (display name) unless you choose to share additional profile information. Your real name, email, phone number, date of birth, and exact address remain private.

We use data to make The Keep better.
Any data we collect is used primarily to provide our Services, which are focused on allowing people to come together and play games. We don't provide your personal data to third parties.

What Information We Collect
Information You Provide to Us
We collect information you provide to us directly when you use the Services. This includes:
Account Information
To create an account, you must provide:
- First name and last name - Used for account verification and customer support. Your real name is kept private and is not displayed to other users.
- Username (display name) - This is what other users see when you interact on The Keep. You can choose any username, including using your real name if you prefer.
- Email address - Used for passwordless account access, security notifications, and communications from The Keep.
- Date of birth - Used to verify you meet the age requirement (13+) to use the Services. Your date of birth is kept private.
- Location (city, state, zip code) - Used to help you discover gaming events and conventions near you. When visible to other users, we only display your city and state (for example, "Minneapolis, MN"), not your exact address.
- Phone number - Used for account security, two-factor authentication, account recovery, and optional SMS notifications. Your phone number is kept private.
Your real name, date of birth, email, phone number, and exact address are kept private and are not displayed to other users. Other users will only see your chosen username (display name) when you interact on The Keep.
Profile Information
You can choose to provide additional information about your gaming preferences, including game systems you enjoy, whether you prefer to be a player or game master, and other preferences that help connect you with games and events. You control whether this information is visible to other users through your privacy settings.
Quest Log Information
The Keep collects information about gaming sessions and events you RSVP to or attend. This includes upcoming games, past games, and convention attendance.
Content You Submit
We collect information you provide when you organize gaming sessions, create or join parties, participate in Chit Chats (group communications), or otherwise communicate through the Services. This includes event details (dates, times, locations, game information), messages to other users, and reports or communications with us.
Other Information
We also collect information when you fill out a form or survey, participate in The Keep-sponsored activities or programs, request customer support, or otherwise communicate with us.
You can view, change, or delete most of this information at any time through your account settings.
Information We Collect Automatically
We automatically collect certain information when you use our Services. This includes:
Log Data
We collect device and network connection information when you access the Services. This may include your IP address, browser type, operating system, referral URLs, and device information (such as device IDs and settings).
Usage Information
We collect information about how you use our Services, including pages visited, features you interact with, links clicked, and search terms.
Cookie Information
We may receive information from cookies, which are pieces of data your browser stores and sends back to us when making requests. We use this information to deliver and maintain our Services, improve your experience, and understand user activity. Location Information
We collect approximate location information based on your IP address. We also collect the location information you provide during registration (city, state, zip code). We use location information to help you discover gaming events and conventions near you. When your location is visible to other users, we only display your city and state, not your exact address or zip code.
How We Use Your Information
We use information about you to:
- Provide, maintain, and improve the Services;
- Create and manage your account;
- Verify your identity and protect account security through two-factor authentication and account recovery;
- Help you organize and coordinate gaming sessions with other players;
- Help you discover gaming events, conventions, and game stores near your location;
- Connect you with other players, game masters, and gaming communities based on your preferences and location;
- Maintain your Quest Log of past and upcoming gaming activity;
- Send you SMS notifications if you have opted-in to receive them;
- Help protect the safety of The Keep and our users, which includes addressing abuse, enforcing our Terms and Conditions and other policies, and complying with applicable law;
- Research and develop new services;
- Send you technical notices, updates, security alerts, and other support and administrative messages;
- Provide customer service;
- Communicate with you about the Services and respond to your requests; and
- Monitor and analyze trends, usage, and activities in connection with our Services.
How We Share Your Information
Information Visible to Other Users
By default, other users can only see your username (display name) when you use The Keep.
When you use The Keep, certain information may be shared with other users as necessary to provide the Services:
- When you organize a gaming session, other users can see your username and the event details you provide (date, time, location, game information);
- When you join a party or RSVP to an event, other participants can see your username and optionally your city and state if you choose to share it;
- When you participate in Chit Chats, your username and messages are visible to other participants in that conversation.
In short, it's essentially the content you create that may be visible to other users as you engage with each other in The Keep.
You control what additional profile information (such as your gaming preferences, city and state, or other details) is visible to others. You can adjust your privacy settings at any time through your account settings.
Your real name, email address, phone number, date of birth, and exact address are always kept private and are never displayed to other users.
We may also share information about you in the following circumstances:
With your consent. We may share information about you with your consent or at your direction.
To comply with the law. We may share information if we believe disclosure is in accordance with, or required by, any applicable law, regulation, legal process, or governmental request. To the extent the law allows it, we will attempt to provide you with prior notice before disclosing your information in response to such a request.
In an emergency. We may share information if we believe it's necessary to prevent imminent and serious bodily harm to a person.
To enforce our rights and promote safety and security. We may share information if we believe your actions are inconsistent with our Terms and Conditions or other The Keep policies, or to protect the rights, property, and safety of ourselves and others.
Aggregated or de-identified information. We may share information about you that has been aggregated or anonymized such that it cannot reasonably be used to identify you. For example, we may show the total number of times a game system has been played without identifying specific users.
How We Protect Your Information
We take measures to help protect information about you from loss, theft, misuse and unauthorized access, disclosure, alteration, and destruction. For example, we use HTTPS while information is being transmitted. We also enforce technical and administrative access controls to limit which of our employees have access to personal information.
Because The Keep uses a passwordless authentication system, we implement additional security measures including email verification and optional two-factor authentication via SMS to protect your account.
We store the information we collect for as long as it is necessary for the purpose(s) for which we originally collected it. We may retain certain information for legitimate business purposes or as required by law. For example, if you violate our policies and your account is suspended, we may store identifiers used to create the account (such as phone number) to prevent you from creating new accounts.
Your Rights and Choices
You have choices about how to protect and limit the collection, use, and sharing of information about you when you use the Services. The Keep does not discriminate against users for exercising their rights under data protection laws.
Accessing and Changing Your Information

Deleting Your Account
You may delete your account at any time from the settings page in your account. When you delete your account, your profile is no longer visible to other users. Please note that content you submitted prior to deleting your account (such as event details or messages) may still be visible to others unless you first delete that specific content. After you submit a request to delete your account, we safely and completely remove your personal data from our servers or retain it only in anonymized form. We may retain certain information for legitimate business purposes or as required by law.
Controlling the Use of Cookies
Most web browsers are set to accept cookies by default. If you prefer, you can usually set your browser to remove or reject cookies. Please note that if you choose to remove or reject cookies, this could affect the availability and functionality of our Services.
Do Not Track
Most modern web browsers give you the option to send a Do Not Track signal to websites you visit. However, there is no accepted standard for how a site should respond to this signal, and we do not take any action in response to this signal.
Controlling Communications
You may opt-out of receiving promotional communications from us by following the instructions in those communications or by updating your email options in your account preferences. You may opt-out of SMS notifications by adjusting your account settings or by following the unsubscribe instructions in the SMS message. If you opt-out of promotional communications, we may still send you non-promotional communications, such as security alerts or information about your account.
Controlling Location Information
You can control whether to share your city and state with other users by adjusting your privacy settings in your account. You can update your location information at any time through your account settings.

Information for US Residents
The Keep is based in the United States and our Services are currently only available to US residents. We process and store information on servers located in the United States.
Some US state laws, including the California Consumer Privacy Act ("CCPA"), as amended, require us to provide residents with additional information and rights.
Depending on your jurisdiction, and subject to exceptions and limitations provided by local law, you may have the right to request access to and information about our data practices, request deletion or correction of your personal information, and the right not to be discriminated against for exercising your privacy rights.
The Keep does not "sell" or "share" personal information as those terms are defined under the CCPA or other applicable regulations. The Keep does not have knowledge that it "sells" or "shares" the personal information of users under 16 years of age. We do not use or disclose sensitive personal information except to provide you the Services or as otherwise permitted by applicable regulations. We do not engage in profiling in furtherance of automated decisions that produce legal or similarly significant effects.
You may exercise your rights to access, delete, or correct your personal information as described in the "Your Rights and Choices" section above. When you make a request, we will verify your identity by asking you to sign into your account or, if necessary, by requesting additional information from you. You may also make a rights request using an authorized agent. If you submit a rights request from an authorized agent who does not provide a valid power of attorney, we may ask the authorized agent to provide proof that you gave the agent signed permission to submit the request. In the absence of a valid power of attorney, we may also require you to verify your identity directly with us.

Children
Children under the age of 13 are not allowed to create an account or otherwise use the Services. Additionally, if you are under 18 years of age, you confirm that your parent or legal guardian is aware of your use of the Services and has reviewed our Terms and Privacy Policy.
Changes to This Policy
We may change this Privacy Policy from time to time. If we do, we will let you know by revising the date at the top of the policy. If the changes, in our sole discretion, are material, we may also notify you by sending an email to the address associated with your account or by otherwise providing notice through our Services. We encourage you to review the Privacy Policy regularly to stay informed about our information practices and the ways you can help protect your privacy. By continuing to use our Services after Privacy Policy changes go into effect, you agree to be bound by the revised policy.
